How to avoid podcast overwhelm with better systems

One of the biggest struggles podcasters face is staying organised and consistent. With so many moving parts; planning episodes, recording, editing, and promoting, it’s easy to feel overwhelmed. But it doesn’t have to be this way.

Find a system that works for you

One of my favourite insights from a recent conversation Lauren Wrighton on Podcasting for Business Owners is this: a simple system can save you hours of stress. For me and my clients, that system is Trello. It’s my go-to tool for episode planning, tracking progress, and managing to-do lists. With everything in one place, nothing falls through the cracks, and you can focus on what you do best: creating great content.

Three actionable steps to streamline your podcast workflow

If you’re ready to simplify your podcasting process, here are three steps to help you get started:

  1. Choose a project management tool
Whether it’s Trello, Asana, or ClickUp, pick a tool that feels right for you. These platforms help you organise tasks, plan episodes, and keep everything on track without juggling sticky notes or scattered files.
  1. Create a workflow you can follow
Break down each episode into clear, manageable steps: planning, recording, editing, and promotion. Having a structured workflow makes it easier to track progress and ensures you never miss an important detail.
  1. Stay Ahead of Schedule
Aim to have at least two weeks of episodes ready to go. This buffer gives you breathing room for unexpected events and lets you maintain consistency without last-minute stress.

Why systems matter for podcasters

Having a rinse-and-repeat system isn’t just about staying organised; it’s about creating time and energy for the creative side of podcasting. When you’re not bogged down by logistics, you can focus on brainstorming fresh episode ideas, connecting with your audience, and making your podcast the best it can be.
