Protect Your Podcast from Day One with These Simple Steps

The one admin task that could save your podcast

When you bring someone in to manage your podcast, you’re doing more than outsourcing audio edits, you’re handing over access to your brand, your message, and your audience.

And if you’re not careful, you could lose control of your own podcast.

I know that sounds dramatic, but I’ve seen it happen. One of my clients had a previous podcast manager who set up everything in his name. The hosting platform. The music licence. Even the Apple and Spotify accounts. When she came to me, she couldn’t access her own show.

We got it sorted in the end, but it took weeks of back and forth, and honestly, it could’ve been avoided with one simple step.

Always set up your podcast accounts in your name

This is the biggest takeaway from today’s post. It doesn’t matter how experienced or trustworthy your podcast manager is, you need to have ownership from the start.

Here’s what I recommend:

  • Create your own podcast hosting account (I like Captivate or Buzzsprout)
  • Use your own logins for Apple Podcasts, Spotify, Amazon Music etc.
  • Buy your own music licence, check out AudioJungle for royalty-free tracks
  • Share logins securely with your manager using tools like 1Password or LastPass
  • Make them an admin, not the account owner

That way, if you stop working together (or things don’t end well), you can just remove their access. No awkward messages or lost content.

If you already have a podcast manager…

Take a few minutes this week to do a quick audit:

  1. Who owns your hosting account?
  2. Whose email is connected to your Apple Podcasts and Spotify dashboards?
  3. Do you own your music licence?
  4. Can you remove access if needed?

It’s one of those boring admin jobs that can save you a huge amount of stress down the line.
